Youth Sports Team Store Setup Guide

If you have ever been the coach, team parent, or league administrator collecting uniform sizes and money through a chain of text messages and Venmo payments, you know the pain. Sizes get mixed up. Parents pay late. Someone's check bounces. And you end up with three extra Youth Large jerseys nobody wants.

There is a better way: an online team store.

At French Press Custom, we build and manage team stores for youth sports organizations across Southern California. Here is how to set one up and run it smoothly.

Why Online Team Stores Work

The Old Way

  1. Coach sends email asking for sizes and money
  2. Half the parents respond
  3. Coach sends three follow-up texts
  4. Coach collects cash, checks, and Venmo in a shoe box
  5. Coach compiles a spreadsheet of sizes (with typos)
  6. Order placed, fingers crossed
  7. Three jerseys are wrong size, two parents never paid
  8. Coach questions all life decisions

The Better Way

  1. Store link goes out in one email
  2. Each parent selects sizes, pays online, done
  3. Store closes on deadline automatically
  4. Order is submitted to printer with exact quantities
  5. Jerseys delivered to each family or coach
  6. Coach focuses on coaching

What You Need to Get Started

From Your Organization

  • Team/league logo (vector file preferred, PNG at minimum)
  • Team colors (specific shades — "blue" is not specific enough)
  • Product list (jerseys, practice shirts, warm-ups, hats, etc.)
  • Player roster (names and numbers if doing personalization)
  • Fundraising goals (if adding a margin for team funds)
  • Deadline (when the store needs to close)

From French Press Custom

  • Store design and setup (branded to your team)
  • Product mockups (every item shown in your team colors)
  • Size charts (youth and adult)
  • Payment processing (Shopify handles credit cards securely)
  • Order management (we track and fulfill every order)
  • Production and shipping (we print and deliver)

Setting Up Your Store

Step 1: Choose Your Products

For a typical youth sports team, we recommend:

Essential:

  • Team jersey (game day)
  • Practice tee or performance shirt
  • Shorts (matching)

Popular Add-Ons:

  • Hoodie or pullover (parents love these)
  • Hat with team logo
  • Backpack or drawstring bag
  • Water bottle
  • Parent/fan shirt ("Team Mom", "Team Dad", team name)

Step 2: Choose Decoration Methods

| Product | Best Method | Why | |---------|------------|-----| | Jerseys | Sublimation or screen print | Full color, durable | | Practice shirts | Screen print | Cost-effective, durable | | Hoodies | Screen print or embroidery | Depends on design | | Hats | Embroidery | Premium look, most durable | | Bags | Screen print | Large print area |

Step 3: Set Your Pricing

Cost structure:

  • Base cost (blank + printing) = your wholesale cost
  • Add team fundraising margin (typically $5-15 per item)
  • Final retail price = what parents pay

Example pricing: | Item | Your Cost | Fundraising | Parent Pays | |------|----------|-------------|-------------| | Game jersey | $18 | $7 | $25 | | Practice tee | $10 | $5 | $15 | | Shorts | $12 | $5 | $17 | | Hoodie | $22 | $10 | $32 | | Hat | $12 | $6 | $18 |

A team of 15 players where each family spends $50 = $750 total, with $150-225 going to team funds.

Step 4: Size Collection

Youth sizing is tricky. Kids grow fast and parents guess wrong. Here is how to handle it:

  • Include a detailed size chart on every product page
  • Add "When in doubt, size up" messaging
  • Include measurement instructions (chest width, body length)
  • Consider offering a sample try-on session at practice
  • Allow size exchanges within 7 days of delivery

Standard youth size run: | Size | Typical Age | |------|-------------| | YXS | 4-5 | | YS | 6-7 | | YM | 8-10 | | YL | 11-13 | | YXL | 14-15 | | Adult S | 15+ (small build) |

Step 5: Set Your Store Window

Recommended: 2-3 week ordering window.

  • Too short (1 week): parents miss it
  • Too long (4+ weeks): no urgency, parents procrastinate

Communication plan:

  • Day 1: Email blast with store link + text message reminder
  • Day 7: Midway reminder email
  • Day 12: "48 hours left" urgency email
  • Day 14: Store closes at midnight

Hard close: The store must close on time, every time. If you extend deadlines, parents learn they can procrastinate and future campaigns suffer.

Step 6: Personalization (Names and Numbers)

If you need individual names and numbers on jerseys:

Option A: Pre-assigned roster

  • Coach provides a roster with names and numbers
  • Parents select their player from a dropdown in the store
  • We print the correct name and number

Option B: Custom entry

  • Parents type in the name and number they want
  • More flexible but higher error risk (typos)
  • We recommend requiring confirmation/review before production

Number decoration methods:

  • Screen print numbers: $3-5 per piece (standard, durable)
  • Heat transfer vinyl: $5-8 per piece (sharp edges, great for small runs)
  • Sublimated (built-in): included in sublimation jersey cost

Managing Multiple Teams or Leagues

If you are a league administrator with 8-20 teams:

League-Wide Store

  • One store with all teams
  • Parents select their team from a dropdown
  • Each team has its own section or product variants
  • Revenue is tracked per team

Benefits of a League Store

  • One communication effort instead of 20
  • Consistent branding across teams
  • Volume discounts on production
  • Centralized fundraising reporting

Pricing for Leagues

Volume drives down cost. A league ordering 200+ jerseys pays less per unit than a single team ordering 15.

| League Size | Per-Jersey Savings | |-------------|-------------------| | 5 teams (75 players) | 10-15% savings | | 10 teams (150 players) | 15-25% savings | | 20 teams (300 players) | 20-30% savings |

Common Mistakes to Avoid

  1. Extending the deadline — kills urgency for future campaigns
  2. Too many products — start with 4-6 items, add more next season
  3. Not including adult sizes — parents want gear too
  4. Skipping mockups — parents need to see what they are buying
  5. No mobile optimization — most parents order on their phones
  6. Unclear sizing — include measurements, not just S/M/L labels

Timeline

| Week | Activity | |------|----------| | Week 1 | Contact FPC, share logo and needs | | Week 2 | Store design and mockup review | | Week 3 | Store approved and launched | | Weeks 3-5 | Ordering window open | | Week 6 | Production begins | | Week 7-8 | Delivery |

Total from start to delivery: approximately 6-8 weeks. Contact us earlier for best results.
