How do I order staff shirts and team uniforms?

Ordering staff shirts or team uniforms is four steps: get a quote with your garment, quantity and decoration; approve a free digital proof; we produce; you pick up or we ship. Screen printing and embroidery both start at 24 pieces per design and run 7-10 business days from written approval, and DTG covers any count below that. The two decisions that matter most are which decoration method fits the garment and how you collect the size run.

The four steps

  • Quote. Pick the garment, the quantity, the decoration method and the locations. The calculator prices it live, or send us the details and we will quote it; either way the print, the setup, the blank and tax are separate lines.
  • Proof. Free digital proof on every order; production starts only after your written approval. This is where placement, size and thread or ink color get settled.

Getting the size run right

Uniform orders live or die on sizing, because unlike event merch these garments have to fit people who wear them every day. Poll staff individually rather than estimating, and let them pick from the real size range of the style you chose. If the garment has both a unisex and a women's cut, offer both; a polo that fits badly gets left in a drawer no matter how good the embroidery is.

Order a modest buffer in the middle sizes. New hires, replacements and the shirt that goes through a bad wash all arrive eventually, and a small reorder prices very differently than a few extra pieces on the original run. Sizes from 2XL up carry a size upcharge on the blank, so a team that skews larger prices higher; the calculator shows it before you commit rather than after.

Embroidery or screen printing for uniforms

Embroidery is the default for anything with a collar or a structured build: polos, button-downs, caps, jackets, aprons, fleece. It does not crack, fade or wash off, it reads as a uniform rather than as merch, and once the logo is digitized (a one-time $45.00 per design) the stitch file is saved for every future run. It starts at 24 pieces, and a left-chest logo up to 5,000 stitches runs about $9.63 per piece at that quantity.

Screen printing is the better answer for tee-based uniforms and high-count crew shirts: warehouse staff, kitchen crews, event teams, anything where the count is large and the garment is a t-shirt. It starts at 24 pieces (about $7.04 per piece for a 1-color print at that quantity) and the per-piece price falls hard as the count rises, to about $3.52 at 100 pieces.

Many uniform programs use both: embroidered polos for customer-facing staff and screen printed tees for everyone else, with the same logo and the same colors across the two.

Reorders and ongoing staff ordering

Screens and stitch files are kept on file, so reorders skip setup. For embroidery that means no digitizing on the second run; for screen printing it means no screen charge. Either way the repeat order is cheaper than the first, so there is no reason to over-buy in year one.

If people join often enough that reordering becomes a chore, an online store is the cleaner answer: a private page with your approved garments and logo where staff or families order their own sizes, on a schedule or with a budget you set. We produce and ship against the orders that come in.
